Your information

Privacy Policy

Effective date: 28 October 2026

1. Who we are

Dystrocoffee is based at 549 Aldo Drive, Rietvlei View Country Estate, Pretoria, Gauteng, South Africa. We determine how personal information collected through this website is used. Contact us about privacy at dominic@dystrocoffee.com.

This policy covers our website and enquiries. It does not replace the privacy policies of client apps, including Early Bird Coffee.

2. Information we collect

When you enquire, we collect your name, email address, coffee shop name, selected interests, and message. To prevent duplicate enquiries, our server also stores a one-way fingerprint of your email address with submission status and a timestamp. This record does not contain your message or other form fields. Your coffee shop website is optional. Required fields are marked in the form; we need contact details to respond.

Our website host and form provider may also process technical information needed to deliver and protect the service, such as IP address, browser information, referring page, and request logs. Formspark’s processing may include approximate location derived from your IP address. Please do not submit payment card details, passwords, or sensitive personal information.

3. How we use your information

We use enquiry information to understand your requirements, respond by email, discuss a potential project, and keep relevant business correspondence. Submitting an enquiry asks us to contact you about that enquiry; it does not subscribe you to unrelated marketing.

Where POPIA applies, we rely on an appropriate lawful justification, including legitimate interests in responding to requested business enquiries or steps towards a contract, and consent where required. We do not use enquiry information for automated decisions that produce legal or similarly significant effects.

4. Service providers and international processing

Our form uses Formspark to receive, store, and forward submissions to our business email. Our email and hosting providers process information needed to deliver those services. We do not sell personal information or share it for cross-context behavioural advertising.

These providers may process information outside South Africa or your home country. Applicable safeguards must be in place for transfers, including contractual protections and the requirements of POPIA where applicable. Contact us for information about the providers handling your enquiry.

5. How long we keep information

For enquiries that do not become projects, our retention period is 12 months after the last meaningful contact. We then delete or anonymise the enquiry from our active Formspark and email records, unless a legal obligation, dispute, or other justified need requires longer retention.

We retain the email fingerprint and submission status while this enquiry service operates to enforce the one-enquiry-per-email limit. You can contact us to request deletion of that record. If an enquiry becomes a project, relevant correspondence becomes part of the client record and is retained for the relationship and applicable legal or recordkeeping requirements. Provider backups, security logs, and deleted-item recovery may follow separate cycles. Formspark states that deleted submissions remain recoverable for 30 days and certain request or security data is retained for 12 months.

6. Cookies, analytics, and marketing

We do not intentionally use advertising pixels, behavioural analytics, marketing cookies, or newsletter subscriptions on this website. Essential technical processing may still be used by hosting and submission providers to deliver the service and prevent abuse. We will update this policy if our practices change.

7. Your choices and rights

Email dominic@dystrocoffee.com to request access, correction, or deletion, object to processing, or ask us to stop enquiry follow-ups. Where processing relies on consent, you may withdraw it without affecting earlier lawful processing. We may need to verify your identity and retain information required by law.

US residents may have additional rights under applicable state laws, including access, correction, deletion, a copy of their data, or an appeal of a declined request. Availability depends on the law and whether it applies to Dystrocoffee. We will assess requests under the applicable requirements and will not unlawfully discriminate against you for exercising a privacy right. We do not sell or share data for targeted advertising.

You may also complain to South Africa’s Information Regulator or another competent privacy authority. We respond within the timeframes required by applicable law.

8. Security, audience, and updates

We use reasonable safeguards for personal information, but no online service is completely secure. This site is intended for adult business owners and representatives, not children. If a child has submitted information, please contact us so we can address it.

We will update the effective date when this policy changes and provide additional notice where required. Questions or requests can be sent to dominic@dystrocoffee.com.
